TERMS & CONDITIONS

When booking any trek or tour to Machu Picchu and Cusco with IncaGo Expeditions represented by the signature of Incas Path Inversiones. These terms and conditions (! the agreement!) describe what you legally have to expect from us as a travel agency and also your responsibilities as a client. By booking or participating in a tour and any related products or services with IncaGo Expeditions, you agree to our Terms & Conditions.

Reservations

Your reservation is confirmed and a contract and agreement exists when IncaGo Expeditions issues a written confirmation after receiving the corresponding initial deposit. Please check your invoice carefully and report any incorrect or incomplete information to your sales representative. Make sure names are typed exactly as indicated on the corresponding passport.

You will pay a deposit that is completely non-refundable in any situation in the event that you have booked the Inca trail to Machu Picchu, there are no exceptions. In the event that you have booked any other trek or tour to Machu Picchu, a percentage of the amount deposited can be returned. The amount to be returned will not be the 100% of the deposit and will be subject to the time of cancellation and the type of tour. In the case of pandemics or environmental catastrophes, the company will look for all possible ways to return your money or change the travel date.

You will be asked to show the original passport (not a copy) with which you initially booked the tour, at the checkpoint to enter the Inca Trail or Machu Picchu. If you originally booked with an old passport and later renewed your passport, you must also bring your expired passport along with your new passport in order for the Machu Picchu and Inca Trail rangers allow you entry.

The only acceptable identification to receive a student discount is your university card with a clear expiration date and that must expire the same year or after the hike.

Payment and Deposit

a). A deposit of 30% of the total value of the excursion is required; the deposit can be made through PayPal or your credit or debit card. Once you have made the deposit for your reservation, it is understood that you have read, understood and accepted our terms and conditions.

b). The remaining balance, that is, the 70% that still needs to be paid, will be paid upon your arrival at our office.

Cancellations

Cancellations:

a). If you booked the Inca Trail to Machu Picchu your initial deposit is completely non-refundable in any situation, there are no exceptions.

b). In the event that you have booked any other trek or tour to Machu Picchu, reasonable percentage of the amount deposited can be returned.

c). The amount to be returned will not be the 100% of the deposit and will be subject to the time of cancellation, logistic expenses and the type of tour.

d). In the case of pandemics or global environmental catastrophes, the company will look for all possible ways to return your money or change the travel date.

Inca Trail Tours

a). Permits for the Inca Trail and Machu Picchu are booked in your name and cannot be transferred to anyone else under any circumstances. Change of dates is also not possible once a permit has been purchased. Permits are non-refundable and non-transferable. The deposit will be forfeited. Please note that this is a regulation of the Peruvian government and not from IncaGo Expeditions.

b). In extreme cases when the “Inca Trail to Machu Picchu” is declared closed for safety reasons by the Peruvian Government, IncaGo Expeditions will replace your trek with an alternative trek. Those who booked permits with a student ID must bring that ID with them on the trek. If they fail to show this card to the park rangers, they will not allow to them entry on the trail.

c). In the case of an alternative trek to Machu Picchu or some other tourist attraction, it is possible to change the entry ticket name in the name of a third party.

Your responsibilities

Medical considerations, if you have any medical or psychological condition, it is important that you notify us, so we can make some arrangements if would be necessary. Our expert hiking guides have the power to disqualify any member of the group if he sees that they are not in the physical or mental capacity to carry out the activity. A participant from the group will also be disqualified in case of putting the safety of the other members of the group or her/his own safety at risk.

IncaGo Expeditions has no responsibility with respect to medical advice, medications and vaccinations that you or your doctor consider to be safe and relevant to your safe participation.

Within the network of the classic Inca trail and any other hiking trail to Machu Picchu, Hospital facilities for serious medical problems are not enabled and evacuation is long, difficult and expensive. Although it is true that our trek guides are trained to carry out evacuations and have a complete first aid kit, IncaGo Expeditions does not assume any responsibility in an evacuation by helicopter, nor the cost of private medical attention. By signing the «Waiver of Liability and Assumption of Risk document», you agree to pay for emergency evacuation and emergency medical care.

Your Obligations

By participating in a trip with IncaGo Expeditions you assume certain responsibilities with the company and with the other members of the group.

  • Select a trip that suits your experiences and abilities.

  • Prepare for the trip by familiarizing yourself with the itinerary and the level of demand of the walk or excursion.

  • Bring the appropriate clothing for the type of trip you will be doing.

  • You must follow hygiene standards to prevent covid 19 or any other type of disease.

  • Have appropriate social behavior and respect the customs and habits of the other participants.

  • Act in a courteous and appropriate manner with respect to the customs of the country you are visiting.

  • Complete the travel itinerary as scheduled.

IncaGo Expeditions reserves the right to refuse to accept as a trip participant any person who does not have adequate behavior, or an optimal physical or mental condition.

Medical Information

  • You must advise IncaGo Expeditions of any medical problems or allergies you may have. You need to be in good physical health, and if your health is questionable, then you should consult a doctor. If you are over the age of 70 years old, then you will need to present us with a current good health medical certificate.

  • You are responsible for assessing whether a tour is suitable for you. You should consult your physician to confirm your fitness for travel and participation in any planned activities. You should seek your physician’s advice on vaccinations and medical precautions. The tour operator does not provide medical advice. It is your responsibility to assess the risks and requirements of each aspect of the tour based on your own unique circumstances, limitations, fitness level, and medical requirements.

  • IncaGo Expeditions reserves the right to deny you permission to travel or participate in any aspect of a tour at any time and at your own risk and expense where the tour operator determines that your physical or mental condition renders you unfit for travel or you represent a danger to yourself or others.

  • Pregnancy is considered a medical condition and must be disclosed to the tour operator at the time of booking. the tour Operator may refuse to carry pregnant women over 24 weeks. The tour operator may refuse to carry anyone with certain medical conditions if reasonable accommodation or alternatives cannot be arranged.

  • It is strongly encouraged to purchase travel insurance to protect you in case of a medical emergency or any tour cancellations.
